How to build a content calendar for Instagram and TikTok
12 September 2026 · 2 min
A content calendar connects a publishing idea with a purpose, preparation work and an owner. “Post on Monday” is not enough: somebody must produce and approve the material first. Instagram and TikTok can share a topic while using different presentations. The sample week below is a planning example for a small service business, not a required publishing frequency or an agency package.
Choose one goal and three topic groups
Write down the week’s aim, such as explaining how a service works and collecting relevant questions. Then choose three topic groups: customer questions, the working process and what the offer includes. Check capacity before scheduling. Who films, writes and approves? A calendar that ignores preparation time will create repeated delays, even when the ideas themselves are useful.
A practical sample week
| Day | Topic and format | Preparation and measure |
|---|---|---|
| Monday | Instagram carousel: three service stages | Copy and design; saves |
| Tuesday | TikTok: demonstrate one stage | Filming and captions; questions |
| Wednesday | Stories: answer a common question | Approved answer; responses |
| Thursday | Buffer and production day | Collect new questions |
| Friday | Instagram post: offer contents | Check terms; profile visits |
| Saturday | TikTok: another customer question | Short script; enquiries |
| Sunday | Review and plan next week | Record results and changes |
Give every item an owner and status
Include columns for date, platform, topic, goal, format, asset link, owner, approval deadline and status. “Idea”, “in production”, “awaiting approval”, “ready” and “published” are sufficient starting stages. Record permissions for music, customer images and other assets. An item is not ready simply because the file exists; required approvals must be complete too.
Use trends selectively
TikTok Creative Center provides trends and creative examples. Check relevance instead of copying an example directly. Meta’s system cards also describe differences between surfaces. When adapting an idea for Instagram and TikTok, review the opening, pace, captions and next step. One filming session can support separate edits without making the posts identical.
Adjust the calendar using what happened
At the end of the week, return to the original goal. Which topics produced relevant questions, which items stalled and how much production time was needed? Record paid promotion separately. Keep buffer time available rather than treating every trend as compulsory. Build the next calendar around realistic capacity and unanswered customer questions, leaving room for genuinely useful updates.
